Common Scenarios
Real Shelfie setups for fashion, wholesale, seasonal, multi-location, and premium stores
These are the most common ways merchants set up Shelfie. Find the one that matches your store type and use it as a starting point.
Fashion / apparel store
The challenge: Seasonal collections mean a summer dress is genuinely dead stock in October, but an evergreen basic might just be slow. You don't want the same rule for both. You also can't let automated discounts touch your key brand pieces.
Setup:
| Rule | Scope | Thresholds | Action |
|---|---|---|---|
| Catch-all | All products | 14 / 30 / 60 days | Sale badge 20% |
| Current season | Collection: "Summer 2026" | 7 / 14 / 30 days | Sale badge 30% |
| Prior season | Collection: "Summer 2025" | 7 / 14 / 21 days | Clearance price 40% |
| Key brand pieces | Tag: no-discount |
999 / 999 / 999 days | — (effectively never fires) |
How it works: The no-discount tag rule has priority 80 — it beats the catch-all (priority 0) and the collection rules (priority 60). Apply the tag to any product you never want touched.
Prior-season collections age faster because you need to move them out before new stock arrives. Current-season is more aggressive than the catch-all because the window is narrower.
Multi-vendor / wholesale store
The challenge: Some vendors' products move in days; others sit for months. Margins vary by supplier. You can't use one global threshold.
Setup:
| Rule | Scope | Thresholds | Action |
|---|---|---|---|
| Catch-all | All products | 30 / 60 / 90 days | Markdown 20% |
| Fast-turn vendor | Vendor: "Nike" | 7 / 14 / 21 days | Markdown 15% |
| Slow vendor | Vendor: "Acme Accessories" | 60 / 90 / 120 days | Markdown 25% |
| MAP-protected | Tag: map-protected |
— | No action (or Add tag: clearance-manual) |
How it works: Fast-turning brands get flagged sooner because slow weeks mean something's wrong. Slow-moving accessory brands have longer windows because that's just how they sell. MAP-protected products get a tag you can use for manual review instead of automatic discounting.
Seasonal / holiday store
The challenge: You have core year-round products and seasonal ranges. Seasonal items have a short window to sell, then they're dead. You want aggressive clearance on seasonal stock without touching year-round products.
Setup:
| Rule | Scope | Thresholds | Action |
|---|---|---|---|
| Catch-all | All products | 30 / 60 / 90 days | Markdown 15% |
| Christmas range | Collection: "Christmas 2026" | 7 / 14 / 21 days | Sale badge 30% |
| Post-Christmas | Tag: post-xmas-clearance |
1 / 3 / 7 days | Clearance price 50% |
How it works: After Christmas Day, manually add the post-xmas-clearance tag to your holiday stock. The tag rule (priority 80) takes over with very short thresholds — products go dead in 7 days and get aggressively cleared. Once you remove the tag, they fall back to the catch-all.
Tip: You can add the tag to a whole collection at once using Shopify's bulk editor, then re-sync Shelfie.
Warehouse / multi-location clearance
The challenge: One of your locations is closing or overstocked. You want to clear out that specific location's stock without touching products at other locations.
Setup (Pro plan — location rules require Pro):
| Rule | Scope | Thresholds | Action |
|---|---|---|---|
| Catch-all | All products | 30 / 60 / 90 days | Markdown 20% |
| Auckland warehouse | Location: "Auckland Warehouse" | 7 / 14 / 30 days | Clearance price 40% |
How it works: Products with inventory at Auckland Warehouse match the location rule (priority 5 — lowest, but the catch-all is at 0). They'll be surfaced faster and cleared more aggressively. Products at other locations follow the catch-all.
Premium / brand-conscious store
The challenge: You never want to publicly discount. Markdowns erode brand equity. But you still have aging stock — you just want to handle it carefully (archive it, move it to a private clearance section, or just be alerted).
Setup:
| Rule | Scope | Thresholds | Action |
|---|---|---|---|
| Catch-all | All products | 30 / 60 / 90 days | Add tag: review-needed |
| Clearance candidates | Tag: clearance-ok |
14 / 30 / 45 days | Add to collection: "Private Sale" |
| True dead stock | Tag: archive-candidate |
— | Archive |
How it works: By default, nothing gets publicly discounted. Dead stock just gets tagged review-needed, which you can filter in the Shelfie dashboard or use as a Shopify smart collection trigger. Products you've decided are clearance-ok get moved to a private sale collection (invisible to the public, but available for VIP or email-only promotions). True dead stock you've tagged for archive gets cleaned up.
What Shelfie does without discounting:
- Surfaces the aging problem (the dashboard KPIs still work)
- Adds tags you can use for Klaviyo flows, Shopify automations, or manual review
- Moves products to collections for controlled promotions
- Archives products that are genuinely done
Simple store (just getting started)
The challenge: You're not sure what rules to set. You just want to see what's aging and start small.
The simplest possible setup:
- Install Shelfie, run your first sync
- Leave the catch-all rule at defaults (7/14/30 days, 20% markdown)
- On the dashboard, review the Dead Stock products
- Apply to the ones you're comfortable marking down
- Watch the Recovered KPI over the next few weeks
You don't need to add any rules right away. The catch-all is enough to get started. Add more specific rules as you learn which parts of your catalog need different treatment.
