Daily Workflow
What to do in Shelfie each week to stay on top of dead stock
Shelfie doesn't require daily attention. Most merchants check it once or twice a week. Here's a simple routine that keeps dead stock under control without becoming a burden.
The weekly routine (10–15 minutes)
Step 1: Sync (30 seconds)
Open Shelfie and click Sync Products or Re-sync. This refreshes aging scores and pulls recent orders so recovered revenue is up to date.
Step 2: Review the dashboard KPIs (1 minute)
Check the four numbers at the top:
- Value at Risk trending up? Dead stock is accumulating faster than you're clearing it. Consider lowering thresholds or being more aggressive with actions.
- Recovered trending up? Your dead-stock program is working — this is real money coming back.
- Dead Stock count very high? You may have a systemic buying or sell-through problem in a specific category. Filter by vendor or collection to pinpoint it.
Step 3: Filter to "Dead" risk level (2 minutes)
Use the risk filter on the dashboard table to show only Dead products. These have crossed your dead threshold — they're the highest priority.
Scan the list. For each product, ask:
- Is this genuinely dead (slow-moving, no demand signals)?
- Or is it just awaiting a restock/relaunch?
Select the ones ready for action and click Apply.
Step 4: Review "Out of date" rows (1 minute)
If you've changed an action config since last week, some applied products will show a yellow Out of date badge. Click Reapply to push the updated parameters, or include them in a bulk Apply.
Step 5: Check recently recovered products (optional)
Filter to Applied status and sort by Recovered descending. See which actions generated the most revenue. This tells you which rules are pulling their weight and which might need tuning.
Monthly review (20–30 minutes)
Once a month, spend more time on the rules themselves:
Audit your rules
Go to Settings → Rules. For each rule:
- Is the scope still accurate? (Collections and tags change over time)
- Are the thresholds still appropriate? (Seasonal shifts may require different windows)
- Is the assigned action still the right one?
Check for rule drift
Products move between collections and tags as you manage your store. A product that was in "Summer 2025" may now be in "Archive" — its rule may need updating.
Review the Recovered trend
Open the Recovered KPI on the dashboard and look at the trend over time. If it's flat despite a lot of applied products, it may mean:
- The actions aren't aggressive enough to drive sales
- The products were truly dead (no demand even after discounting)
- The Recovered window attribution is short (revenue from long-tail orders may come in later)
Signs your setup needs tuning
| Symptom | Likely cause | Fix |
|---|---|---|
| Too many products flagged at once | Thresholds too low | Increase warning/danger/dead days in catch-all rule |
| Nothing ever gets flagged | Thresholds too high | Lower thresholds, or check if sync is running |
| Recovered stays at $0 | Actions aren't driving sales, or no sync since applying | Try a more aggressive action; wait for next sync |
| One vendor dominates dead stock | That vendor's products sell slowly | Add a vendor rule with longer thresholds OR more aggressive action |
| Rules applying to wrong products | Scope misconfigured | Review rule scope in Settings |
Time-saving tips
Use bulk apply. Don't apply products one by one. Filter to "Dead", select all that look ready, and apply in one batch. The confirm modal shows you exactly what will change before you commit.
Don't agonise over individual products. If you're unsure about a product, skip it. You can always come back. Shelfie surfaces it again next week.
Revert is instant. If an action doesn't feel right after applying it, click Revert. The original state is restored in seconds. This means you can apply more freely — the cost of a mistake is near zero.
Name your rules clearly. "Nike SS24 Clearance" is much easier to audit than "Rule 4". Good names make monthly reviews 5x faster.
